Payment Posting & Reconciliation Services

ERA and EOB posting, adjustment review, and reconciliation against deposits so balances stay accurate.

Accurate posting is the foundation of every report and every follow-up decision. We post insurance and patient payments, review adjustments and denial codes as they come in, and reconcile postings with your deposits.

Signs your practice may need this

  • Payments posted days or weeks after they arrive
  • Patient balances that don't match what insurance actually paid
  • Denials and zero-pay lines that are posted but never followed up
  • Bank deposits that don't reconcile with your system

What's included

  • Electronic remittance advice (ERA) posting
  • Manual posting of paper EOBs and patient payments
  • Review of contractual adjustments and remark codes
  • Identification of denials and possible underpayments for follow-up
  • Reconciliation of posted payments against bank deposits
  • Routing of credit balances for your review

How it works

  1. Collect remittances

ERAs, EOBs, and payment records are gathered from the agreed sources.

  2. Post

Payments and adjustments are applied at the line-item level.

  3. Review

Denials, zero-pays, and unexpected adjustments are routed to follow-up queues.

  4. Reconcile

Posted totals are compared to deposits and differences are investigated.

What stays with your practice

We work within the systems and policies you set. Your practice retains authority over clinical documentation, coding decisions, write-offs, refunds, and patient financial policies. Any work involving protected health information takes place under a Business Associate Agreement.

Refund and credit-balance decisions are made by your practice. We prepare the information you need to make them.

Frequently asked questions

Do you post both electronic and paper remittances?

Yes. We post electronic remittance advice (ERA) files and manually post paper EOBs and patient payments that your practice receives.

What happens to denials found during posting?

Denials, zero-pay lines, and unexpected adjustments are routed into follow-up queues so they are worked rather than just recorded.

Do you identify underpayments?

Where your fee schedules or expected allowables are available to us, we flag payments that look lower than expected for review and follow-up.

Who decides on refunds and credit balances?

Your practice does. We identify credit balances and prepare the information you need to make refund decisions.
