Medical Accounts Receivable (AR) Follow-Up

Structured follow-up on unpaid and underpaid claims, prioritized by age, balance, and timely-filing risk.

Unworked AR tends to age quietly. We build prioritized work queues so outstanding claims are followed up consistently, with documented next steps on every account we touch.

Signs your practice may need this

  • A growing share of AR is more than 90 days old
  • Claims with no payer response that no one has checked on
  • Timely-filing deadlines missed on correctable claims
  • AR follow-up happens only when someone has spare time

What's included

  • Aging review by payer, balance, and date of service
  • Claim status checks through payer portals and phone follow-up
  • Prioritization by balance size and timely-filing deadlines
  • Corrected claim and resubmission preparation when needed
  • Clear account notes documenting each action and next step
  • Escalation of payer issues that need practice involvement

How it works

  1. Assess

We review your current aging to understand volume, payer mix, and risk.

  2. Prioritize

Accounts are grouped into work queues by value and urgency.

  3. Follow up

Each claim is worked until it is paid, appealed, corrected, or resolved.

  4. Report

Progress and recurring issues are summarized in regular updates.

What stays with your practice

We work within the systems and policies you set. Your practice retains authority over clinical documentation, coding decisions, write-offs, refunds, and patient financial policies. Any work involving protected health information takes place under a Business Associate Agreement.

Older AR may include claims that are no longer collectible because of payer filing limits. We will tell you plainly what we find.

Frequently asked questions

Can you work old AR, or only new claims?

Both. Many engagements start with a review of existing aging. We will be clear about which older claims are still workable and which may be past payer filing limits.

How do you decide which claims to work first?

We prioritize by a combination of balance size, age, payer, and timely-filing risk, so the work most likely to matter is done first.

How will we know what was done on each account?

Each action and next step is documented in account notes, and progress is summarized in regular reporting.

Do you call payers?

Yes. We check claim status through payer portals and, when needed, by phone, then take the next appropriate action.
