Insurance Eligibility & Benefits Verification

Coverage, benefit, and authorization checks before the visit to help reduce avoidable front-end denials.

Many denials can be traced back to coverage questions that were never answered before the visit. We verify active coverage and key benefit details ahead of scheduled appointments so your front desk has what it needs at check-in.

Signs your practice may need this

  • Denials for inactive coverage or coverage terminated before the visit
  • Patients surprised by copays, coinsurance, or deductibles
  • Authorization requirements discovered after the service
  • Front-desk staff too busy to check every scheduled patient

What's included

  • Active coverage confirmation for scheduled patients
  • Copay, coinsurance, and deductible details where available from the payer
  • Primary and secondary coverage identification
  • Flags for services that may require prior authorization or referrals
  • Notes recorded in your practice management system, or in an agreed format
  • Follow-up on coverage discrepancies identified before the visit

How it works

  1. Receive the schedule

We work from your upcoming appointment schedule on an agreed lead time.

  2. Verify

Coverage and benefits are checked through payer portals, clearinghouse tools, or payer calls.

  3. Document

Findings are recorded where your staff can see them at check-in.

  4. Flag issues

Inactive coverage or authorization needs are escalated to your team before the visit.

What stays with your practice

We work within the systems and policies you set. Your practice retains authority over clinical documentation, coding decisions, write-offs, refunds, and patient financial policies. Any work involving protected health information takes place under a Business Associate Agreement.

Benefit information comes from payers and can change. Verification reduces surprises but is not a guarantee of payment by the payer.

Frequently asked questions

How far ahead of the appointment do you verify?

We agree on a lead time with you, commonly one to several business days before the visit, so there is time to resolve problems. Same-day additions are handled as your schedule allows.

Where do you record what you find?

We record findings in your practice management system or another format you choose, so staff can see them at check-in.

Do you obtain prior authorizations?

Our eligibility work flags services that may need prior authorization or a referral and escalates them to your team. If you want help with the authorization process itself, we can discuss scope during the consultation.

Does verification guarantee the claim will be paid?

No. Payers provide benefit information at a point in time and make final decisions when the claim is processed. Verification reduces avoidable surprises but cannot guarantee payment.
